The General Data Protection Regulations (GDPR) came into force in May 2018. It sets out the way that all companies use the personal data of EU citizens. Under these regulations, Wilkins Bruce Ltd will act as a Data Controller. We therefore have certain obligations on how we collect, store and process your data. This privacy policy is set out in order to detail these points. In particular this Privacy Policy will explain the following points:

  1. Who this privacy policy covers.

This policy applies to all of our clients which include both “candidates” and also our “employer clients” (please see section 7, entitled “Employer Clients” below).  We define candidates as individuals who choose to register with us in order to use our services to carry out appropriate career searches or to be kept informed of potentially suitable career opportunities. We define employer clients as companies and individuals at those companies who are responsible for the recruitment process and thereby whom it is necessary for us to contact in order to provide our recruitment services.

 

  1. What Personal Data we collect.

We may collect some or all of the following personal data which we feel necessary to provide you with an effective recruitment service:

  • Contact details including name, address, email address, telephone numbers
  • Gender and date of birth.
  • NI Number
  • Employment history and skills/expertise
  • Current salary and benefits package and salary expectations
  • Education history and qualifications
  • Passport or Visa details as appropriate

We may at some point in the recruitment procedure and only with your permission, seek additional personal data from companies with whom you have been employed with in the past. This would typically be for the purposes of gaining satisfactory references on your behalf.  Similarly we may occasionally, be required to contact professional examination bodies to check professional qualifications.  Again this would only be done with you permission.

 

  1. How we collect your personal information.

There are various scenarios under which we may collect your personal information. This may be:

  • Directly from you such as:
    • when you call us to enrol with our services, when you complete a form on our website asking to register/contact you or when you send us your CV.
    • when you call at our offices.
    • when you complete one of our registration forms (either at our offices or on our website).

  • Indirectly such as
    • when you interact with our job boards, social media, LinkedIn etc
    • when we contact you through referral or as part of our proactive search activities

We will only ever store or process your personal information once you have agreed to our privacy policy.

 

  1. How and where we hold and keep secure your information.

All the personal data we store is held on our database on a secure server based in Harrogate, North Yorkshire. Any physical copies of data are contained in locked secured storage until such time as it is legally allowed to be destroyed.

 

  1. How we may use and share this information.

We use your personal information to provide you with our services as a recruitment agency and assist you to find new employment opportunities. These details also allow us to inform you of potentially suitable career opportunities, to match your skills and expectations with available jobs and where appropriate, to share your details with our selected clients for consideration by them for suitable career opportunities.

 

  1. Your rights about your data: access, updating, deleting.

You have the right at any time to ask for a copy of the information that we hold about you and we are obliged to respond to you in a timely manner. You also have the right for any incorrect data to be rectified or updated. Please contact us as soon as any of the details we hold for you are changed. You also have the right to have the data we hold about you permanently erased. If you would like to make a request to either view, update or erase your information please contact us directly

 

  1. Information specific to our Employer Clients.

We define “employer client” as any individual who is employed within a company which uses our recruitment services and who we need to communicate with for the fulfilment of our recruitment services and individuals who are involved in the recruitment process. The data we need to collect from our employer clients is not as extensive as the information we will need from candidates and will include the following:

  • Name
    .         Email address
    ·         Telephone number
    ·         Job Title
    ·         Records of conversations with our consultants

The reason we collect this information is to enable us to provide our recruitment services to you. Your details are held on our secure UK based database and will only be shared with candidates you request to meet from us and only with your prior consent. Your consent will allow us to continue to speak to you about our services and contact you about candidates who we feel may be of interest to your organisation.

As with our candidates, our employer clients also have the right to view or amend the information we hold on them and also have the right to ask us to delete all of your data from our records should you wish. This can be done by contacting us directly.

 

  1. Changes to this Privacy Notice

We may change this Privacy Notice from time to time. This may be necessary, for example, if the law changes, or if we change our business in a way that affects personal data protection.
